Wholesale distribution software that works with your ERP.

In wholesale, orders arrive by email, as PDF purchase orders, over the phone and now and then by fax. Someone types them into the ERP, checks prices and stock and sends a confirmation. For distributors with about 10 staff and up, we shorten that path with software built around your catalogue. You still use it from day one like a standard product, and it’s priced at the level of a standard solution.

Three processes we see a lot

ProcessTodayWith custom software
Order entryOrders from emails and PDFs get retyped, and customer prices are looked up in a listAI reads the order, maps the customer’s part numbers to your SKUs and creates the sales order at the right customer price for approval
Supplier confirmations and backordersInside sales chase suppliers by email for delivery datesSupplier acknowledgements are read automatically, the expected date sits on the order and customers hear about delays sooner
Repeat ordersThe same order every week by phone, with questions about price and delivery dateA customer portal with your catalogue, their prices, order status and invoices, and reordering in one click

Your ERP stays the system of record

What we build reads from your ERP and writes into it. The ERP sets the pace:

  • Items, stock and prices come from the ERP. There’s no second set of data for anyone to maintain.
  • We create orders through the interface your ERP offers. Acumatica, for example, advertises open APIs; with NetSuite, Prophet 21 or Odoo we check what your version and licence allow before we start.
  • Orders that come in by EDI stay on EDI. We take care of the customers who still order by email, PDF or phone.
  • The data is yours. It sits on servers in the EU wherever possible, and at handover you get documentation of which data flows where.

Exceptions and day-to-day running

  • Unknown part number, a price below your floor, an unusually large quantity: those orders land in a queue and wait for a person.
  • You decide what may go through without approval. We suggest starting with nothing and switching routine orders on after a few weeks.
  • If an interface goes down, you get an alert, and orders stay in the inbox until everything runs again.

Standard, extended or custom?

NetSuite comes with customer and vendor portals, and Acumatica connects to BigCommerce for B2B accounts and pricing. Check those first, because sometimes they’re enough.

Frequently asked questions

Will you replace our ERP?

Usually not. It stays the system of record, and we take over the manual work in front of it.

What happens to orders with errors?

They don’t slip through. They go to inside sales with a note on what doesn’t match.

We’re moving to Odoo. Should we wait?

No need. Order entry can be built against Odoo from the start, and if the migration itself is the bigger job, we can take that on as well.

How long does it take?

Order entry from email is often one two-week sprint. A customer portal takes more, and we work out how much in the AI investment plan.
