An AI receptionist that knows when to hand over.
An AI receptionist picks up when nobody at your business can: out on a job, with a customer or after hours. It asks what it needs to, books appointments and passes anything it can’t handle safely to a person. It’s built for small businesses with about 10 staff or more whose phone rings more often than anyone has time for.
Thanks for watching.
- Who it’s for
- Businesses where calls go unanswered
- Result
- A receptionist on your number, with handover to your team
- Duration
- set up within one sprint (2 weeks)
- Price
- from €4,900, plus a cost per call minute
- Start
- intro call, then a test call
Where it pays off
- The phone rings while everyone is on site or with a customer. Callers who only reach voicemail may simply ring the next company on the list.
- Many calls are about the same things: are you open, is there a slot this week, when is the engineer coming?
- Calls come in after hours and at weekends and wait until Monday, the urgent ones included.
What happens on the call
It works like an off-the-shelf AI phone answering service, but with your rules, your calendar and your handovers, for the price of a standard solution. This is how it deals with typical calls:
| Call | What the receptionist does | What reaches you |
|---|---|---|
| Wants an appointment | asks what it’s about, the address and a time window, then offers free slots | an appointment in the calendar, a summary by email |
| New enquiry | asks what’s needed, where and by when | a new enquiry in your CRM if it has an interface, otherwise by email |
| General question | answers only from information you’ve approved, such as opening hours or the area you cover | an entry in the call log |
| Emergency | recognises keywords you set, such as a burst pipe, and puts the call straight through | the call on the on-call phone |
| Unclear case or complaint | says a person can help better here, then puts the call through or takes a callback request | a callback request with name, number and reason |
How the receptionist gets on the phone
Count the calls Day 0
In the intro call we look at how many calls come in, at what times and which of them nobody answers today.
30 minutes, free
Test call after the call
You ring the prototype, which already knows your opening hours and services, and hear how it sounds.

Set-up Week 1–2
We write the call script, connect the calendar, decide when it hands over and set up forwarding from your number. Finally we test with staged calls, the awkward ones included.
from €4,900, fixed price
The first weeks afterwards
We go through the call logs with you and fine-tune wherever it hands over too often or misunderstands something.
optional sparring from €490 a month
What an AI receptionist costs
- Intro call30 minutesfree
You tell us where things get stuck, and we dig deeper. Afterwards you know where AI is worth it for you. No risk, no obligation.
- First prototypeafter the callfree
After the call you see what AI can do with a real example from your business. So you’re deciding on something you can get your hands on, not on slides.
- Sprint2 weeks, fixed pricefrom €4,900
In two weeks you get a finished result at a fixed price, and your team uses it straight away. Then you decide whether another sprint follows. No long tie-in.
- Ongoing sparringoptional, 90 minutes + monthly report, minimum 6 monthsfrom €490 / month
Once a month, 90 minutes one-to-one, followed by a monthly report. Over at least six months we can plan further ahead, spot new opportunities early and see what really works.
Running costs
On top of the set-up there are running costs for telephony and the AI model, and they grow with every call minute. How much depends on the number and length of your calls. We work it out with your numbers before you decide, and set it against what a missed job or an hour on the phone costs you today.
Limits and responsibility
- The receptionist says in its first sentence that it’s an AI. For businesses in the EU, Article 50 of the EU AI Act has required since 2 August 2026 that people are told they’re dealing with an AI, at the latest at the first contact, unless it’s obvious anyway. We do it everywhere, because it’s the decent thing to do.
- Anyone who doesn’t want to talk to an AI says so and is put through or gets a callback.
- Calls are only recorded where the law allows it, for example with consent at the start of the call. What’s stored and for how long, we agree beforehand with you and whoever handles data protection for you.
- Only a person gives binding prices or commitments. The receptionist hands those calls over.

Frequently asked questions
Do callers notice they’re talking to an AI?+
Yes, because the receptionist tells them right at the start. The voice sounds natural, but we don’t want to fool anyone.
Does our phone number stay the same?+
Yes. Calls are forwarded, for example when nobody picks up after a few rings or outside opening hours. You decide when.
Does it understand strong accents?+
Mostly. With a strong accent or building-site noise in the background it understands less well, so it asks again or hands over. We test exactly that before launch, with your own people.
What happens if the receptionist goes down?+
Then the call goes the way you set in advance, for example to voicemail or a mobile. We get an alert and deal with it.
