Software for hotels that works alongside your PMS.

Your PMS knows every room and every booking. The enquiry for a wedding party and the tenth email about parking still land at reception. For hotels with about 10 staff and up, we build the software for that work, around the PMS you already run.

Where reception loses time

ProcessTodayWith custom software
Wedding, group and conference enquiriesEnquiries come in by email, and the proposal gets pasted together from old templatesAI reads dates, guest numbers and wishes, checks availability in the PMS and drafts a proposal with your packages
Guest questions before arrivalParking, dogs, late check-in: reception answers the same questions every dayAn assistant answers them by email, chat or phone from your house knowledge and passes special requests to reception
Rota and housekeepingA spreadsheet rota, changes shouted across the corridor, updates by WhatsAppA rota suggestion from occupancy, arrivals and departures in the PMS, with changes sent straight to the team

Where AI saves hotels time

AI for hotels pays off where text comes in and text goes out: enquiries, proposals, replies to guests and to reviews.

What we build works like a finished product, only it knows your packages and your house. On price, it sits at the level of a standard solution.

For rates and availability the PMS stays the source. The AI reads from it and writes nothing back that a person hasn’t approved.

Standard, extended or custom?

For many hotels the PMS and its add-ons are enough, and then that’s where it stays.

Interfaces and running it

  • Before we start, we check which interface your PMS offers and what your licence allows. Mews, for instance, advertises open APIs and more than 1,000 integrations, and Clock publishes API documentation.
  • The first sprint lasts two weeks and tackles one process, usually group enquiries or guest questions.
  • We train your team before the busy season, so nobody has to learn something new in August.
  • Guest data is processed on servers in the EU wherever possible.

Frequently asked questions

Does our PMS get thrown out?

No. It stays in charge of reservations, rooms and billing. We build what’s missing next to it.

Does the AI reply in German or Italian too?

Yes, in whatever language the guest writes in.

What about reviews?

The AI drafts replies to reviews in your tone. Nothing goes online until you approve it.

Can guests book a room by phone with an AI?

An AI receptionist can take the call, answer questions and note the booking request for reception. Whether it books directly depends on what your PMS interface allows.

We’re a seasonal business. Is it worth it?

We work that out in the AI investment plan, with your figures for peak and off-season. If the numbers don’t add up, the plan says so.
