Software and AI for property management, next to the system you already use.

Your property management software handles rent, client accounts and statements. The calls about a dripping tap and the write-up after an inspection still land on your team. For letting agents and block managers with about 10 staff and up, we build the pieces that are missing day to day. They’re ready to use from the first day like standard software, fitted to your portfolio, and priced like a standard solution.

Where the hours go

ProcessTodayWith custom software
Tenant requestsPhone, email and the odd note through the door, and someone matches every request to a property by handAn assistant takes the request, recognises the building and the flat, and opens a case with everything in it
RepairsPhotos by email, a call back to the tenant, a job to the plumber, then chasing whether he’s beenThe repair goes to the right contractor with photos and access details, and the appointment and completion show up in the case
Inspections and AGMsNotes on paper, with the report or the minutes typed up in the eveningA voice note and photos on site turn into the report or minutes in your template, ready for sign-off

What your management software keeps doing

We don’t rebuild property management software. The accounts stay where they’re kept:

  • Rent collection, arrears, client accounts and service charge accounts stay in your system.
  • Properties, units and contacts come in through the API or a regular export, so there’s only one set of data.
  • Already reporting repairs through Fixflo? Then we connect to it before anyone builds a second repairs portal. Arthur Online, for one, lists Fixflo among its integrations.
  • The AI gives no advice on tenancy law, deposits or leases. Those questions go to you.

AI for property management: who signs off

  • The AI drafts replies to tenants, landlords and leaseholders. You decide which ones may go out without sign-off, such as the acknowledgement.
  • Jobs for contractors above an amount you set only go out once someone has approved them.
  • Tenant data is processed on servers in the EU wherever possible and never used to train public models.
  • Every case shows what the AI suggested and who approved it.

Standard, extended or custom?

For a small agency with a few dozen units, what the management software brings is often enough.

Frequently asked questions

Do we need new property management software?

No. Yours stays, and we build around it. If it has an API, we use that, otherwise a regular export.

Can the AI answer tenants’ questions about their account?

Only what you release, for example whether a statement has gone out. Questions about the figures go to a person.

What about emergencies at the weekend?

You decide what counts as an emergency. A burst pipe goes straight to your contractor’s out-of-hours line, and everything else waits until Monday.

Do we need a separate CRM for property management?

Usually not, because landlords, tenants and contractors already live in your management software. Where landlord leads and new instructions get lost, we build a small CRM for property management next to it, fed from the same data.

Where do we start?

With the process that costs you the most hours each week, often repairs. After the intro call you get a first prototype, built on one of your real repair requests.
